Contacts and pipeline

Work an opportunity

Open an opportunity's detail page to review its summary, contacts, economic impact, tasks, and notes, work its Responses, Documents, and Incentives tabs, and use the Actions menu to edit it, request responses, generate a form link, or delete it.

Before you start

  • An opportunity is a project or lead your team is pursuing. The UI mostly calls it "opportunity," though some dialogs and the pipeline board say "project" instead — they mean the same thing.
  • There's no Opportunities item in the sidebar. You reach an opportunity's detail page from a card on a pipeline's board or table, from a linked contact or organization, from a response that's been connected to it, or by promoting a response into a new opportunity (see Review a response).

Steps

An opportunity's Overview tab: the Summary card with Owner, Status, Description, Industries, and Tags; the Details card with Start and End Date; the Contacts card with a primary contact; the four Economic Impact cards; and the top of the Tasks table.

Read the summary

The Summary card shows the opportunity's Owner, its Status (Scoping, Due Diligence, Site Visits, Negotiations, Committed, Completed, Lost, or On Hold), an optional Description, its Industries, and its Tags.

This Status is a separate field from the column the opportunity's card sits in on its pipeline board (Inquiry, Qualified, Proposal, …). Dragging a card to a different column changes only its pipeline position, not this Status field — the two are tracked and updated independently, so check both if you're expecting a status to reflect a board move.

Review Details and add custom fields

The Details card shows the opportunity's Start Date and End Date, plus any custom fields you've added. Click Add Field to add one, entering a Field Name and a Value.

Manage contacts

The Contacts card lists the people linked to this opportunity. Click Add (or Add Contact when the card is empty) to link one. On an existing contact, open its menu to Set as primary (a Primary badge appears next to that contact) or Remove it from the opportunity.

Track economic impact

For EDO accounts, four cards below the summary track the deal's projected impact: Economic Impact (labeled "Auto-calculated" — it's derived from the other figures and isn't editable directly), Total Jobs, Average Salary, and Capital Investment. Click any of the three editable cards to open a dialog where you can update Total Jobs, Average Salary, and Capital Investment; saving recalculates the auto-calculated Economic Impact figure.

Manage tasks

The Tasks card lists tasks tied to this opportunity. Click Add Task to open the Create Task dialog: Task Name, an optional Description, Assignee, Due Date, Priority (Low, Medium, or High), and Status (Pending, In Progress, Completed, or Abandoned).

The Add Task dialog with Task Name, Description, Assignee, Due Date, Priority, and Status fields.

Click any row to reopen the same dialog and edit the task, including marking it Completed by changing its Status there — there's no separate "mark complete" control. To delete a task, click the trash icon at the end of its row; a confirmation dialog appears first.

Add notes

The Notes card works the same way here as it does on a contact or organization page — see Add notes to contacts, organizations, and opportunities for the full picture of adding, linking, editing, and removing notes.

Work the Responses, Documents, and Incentives tabs

  • Responses lists the form responses associated with this opportunity — each row shows the form, its status, the submitter, and when it was submitted. Open Review a response for what you can do from there.
  • Documents lists files uploaded to this opportunity, with an Upload Document button and columns for title, description, type, uploader, and upload date.
  • Incentives only appears once your account's Compliance module is turned on; it doesn't show for every account. When it's available, it's where you record and track incentive awards tied to this opportunity.

Use the Actions menu

Click Actions at the top of the page to open a menu of:

  • Edit Opportunity — updates the Project Name, Description, Start Date, Due Date, Status, and Owner. This is the same Status field described above (Scoping, Due Diligence, …) — editing it here doesn't move the opportunity's card to a different pipeline column.

  • Update Metrics — updates your account's custom metric values for this opportunity. If your account hasn't defined any custom metrics yet, the dialog says so and points you to your account administrator.

  • Request Responses — sends a form request to contacts. Choose a form under Select Form, then add recipients by searching contacts (by tag, industry, contact, or organization), uploading a CSV, or adding them manually.

The Request Responses dialog with a Select Form dropdown and Search Contacts field, plus Upload CSV and Add Manually options.

  • Generate Form Link — choose a form under Select Form to get a public form link pre-linked to this opportunity; click Copy Form Link to copy it. Anyone who submits through that link has their response automatically connected to this opportunity.

  • Delete Opportunity — asks you to confirm before deleting.

The Actions menu open on an opportunity's detail page, showing Edit Opportunity, Update Metrics, Request Responses, Generate Form Link, and Delete Opportunity.

What happens next

  • Deleting an opportunity is a soft delete: it and its tasks, contacts, organizations, and documents are removed from view together, but the underlying records aren't immediately purged.
  • Sending a response request emails each recipient a link to the selected form; responses that come back through it are connected to this opportunity automatically.
  • Generating a form link doesn't send anything — it's a link you copy and share yourself. Any response submitted through it is connected to this opportunity the same way a response request's is.

Common questions

Q: I moved a card to the Won column on the board — why does the opportunity still say "Scoping"? A: The board column and the Status field on the opportunity's Summary card are tracked separately. Moving a card between columns only changes its pipeline position; open Edit Opportunity to change the Status field itself.

Q: What's the difference between a lead and a project? A: Both are opportunities under the hood, and the UI mostly uses "project" and "opportunity" interchangeably. A small number of opportunities in the system are marked as leads instead of projects (for example, one that hasn't been placed on a pipeline yet) — but there's currently no button in the portal to create a new one as a lead; new opportunities you create are projects.

Q: I don't see an Incentives tab on this opportunity — why not? A: The Incentives tab only shows up once your account's Compliance module is enabled. If you believe it should be on, check with your account administrator.
