Add notes to contacts, organizations, and opportunities

Add a note to a contact, organization, or opportunity, optionally attach the same note to other records at once, edit it, and either unlink it from one record or delete it everywhere.

Before you start

  • You need a contact, organization, or opportunity page open — every one of them has a Notes card.
  • A note isn't tied to a single record. When you add one, you can attach it to other contacts, organizations, or opportunities at the same time, and it will appear on every record it's attached to.

Steps

Add a note

Click Add note on the Notes card to open the inline editor: an optional Title, a rich-text Note body (with a Block type picker for paragraphs, quotes, and headings 1–4, plus bold, italic, underline, lists, and a link tool), and — only when creating a note — Also attach to (optional). Click Attach to an entity… there to search for and add an opportunity, organization, or contact; each one you pick shows as a removable chip. Click Add note to save, or Cancel to discard it.

Every note shows a chip for each record it's linked to; click a chip to jump to that record. Click Add link next to the chips to search for an opportunity, organization, or contact and attach the note to it as well — the note then appears on that record's page too.

Edit a note

Click the pencil icon on a note to open the same rich-text editor with its current title and body. This doesn't affect which records the note is linked to. Anyone in your account can edit any note — edits aren't restricted to whoever created it. Once a note has been edited, its byline adds "· edited" after the original author and date.

Remove a note from this record, or delete it everywhere

Open the menu on a note for two options:

  • A "Remove from this…" option, labeled for whichever contact, organization, or opportunity you're viewing — unlinks the note from that record only; it stays visible on any other record it's still linked to. If this is the note's only link, you're asked to confirm first, since removing it will delete the note entirely (there's nowhere else for it to live).
  • Delete everywhere — always asks you to confirm, then removes the note from every record it's linked to.

What happens next

  • A note you attach to several records shows up on each one immediately; editing it in one place updates it everywhere it appears.
  • Removing a note's last remaining link deletes the note — there's no way to have a note that isn't attached to at least one record.

Common questions

Q: I added a note on a contact — why does it also show up on an opportunity? A: You (or someone else) attached it to both when it was created, or added a link afterward with Add link. A note can be attached to more than one contact, organization, and opportunity at once, and it appears on every one of them.

Q: Can I stop a note from showing on one record without deleting it everywhere? A: Yes. Open the menu on the note and choose the "Remove from this…" option (its label matches whichever contact, organization, or opportunity you're viewing) — it stays visible on any other record it's still linked to. If it's the note's only link, removing it deletes the note, since it would otherwise have nowhere to live.

Q: Can only the person who wrote a note edit it? A: No. Anyone in your account can edit any note, not just its original author. The note's byline shows who wrote it and adds "· edited" once someone has changed it.
